Cancellation Policy

In general a cancellation policy is necessary for our small business to continue to serve our clients in need of treatment.

Booking an appointment at Vcare Physio & Rehab ensures that a particular date and time will be held exclusively for you. It also means that at the time you book your appointment you are accepting the responsibilities to pay for your exclusive appointment time.

To avoid a cancellation fee, we require 24 hours notice when cancelling or rescheduling an appointment. If you believe that your individual circumstances warrant an exception to our policy, please contact us as soon as possible and we will be happy to discuss it with you If you are unable to provide us with 24 hour notice for canceling or rescheduling, you will be billed $20 for the missed appointment.


We accept Visa, MasterCard, Cash, and Cheque

You are fully responsible for NS if paid by cheque.

Extended Health insurance

Do we accept Extended Health Insurance and Employee Benefits? Yes we do!

Please note that not all policies are the same, even within the same company. Your insurance policy may feature one or more of the following restrictions on your coverage:

Partial Coverage – if insurer pays less than 100% of the service fee, you as the plan member are responsible for payment of the remaining balance.
Annual Deductible – the plan member is responsible for payment of the deductible amount
Coverage Limited to Set Amount Per Visit – your insurer may cover to a pre-determined dollar limit per session or visit, which may or may not depend on the service type or practitioner type.

Please be aware that every insurance policy is unique with regards to these above features, as well as with regards to their annual limits per practitioner type, which is a discussion beyond the scope of this article. It is ultimately the insured member’s responsibility to be aware of and familiar with their own insurance coverage details, which includes but is not limited to coverage.

The clinic will not engage in fraudulent billing practices to the unfair, unlawful benefit of any patient or client as an insured plan member. The clinic will not submit false claims under a spouse or other family member’s name. The clinic will not submit a false claim that does not match the service rendered, the date is was rendered, nor the practitioner providing that service. The clinic will not bill for any amount different than the posted fees. The clinic will not accept an insurance policy’s partial coverage or partial payment and consider it as full payment.

Direct Billing to Insurance Companies

Our clinic offers to submit direct Billing to majority of the extended health insurance companies whichis a convenient fast way to have services billed directly and electronically to your insurance carrier. If you would like us to bill directly to your insurance company, we ask kindly that you add a credit Card to your file for security purposes. This information is confidential and will not be used without direct authorization of the cardholder.

Manual Submission

If your Extended Health Insurance does not allow direct billing, we can still help to prepare the documentation and forms needed to be reimbursed. We also can call and verify insurance information provided we have the details of the plan. Some of the insurance companies may need your verbal authorization to release coverage information. We can send insurance claims on your behalf to your insurance carrier however the carrier will reimburse the plan member for services rendered. To facilitate this each visit/service would have to be paid on an ongoing basis. The reimbursement of the services will depend on your specific coverage for the services rendered.

Some restricted policy requiring manual/paper submission of paid receipts by the plan member, for direct reimbursement from the insurer to the plan member. The clinic will provide receipts for this purpose upon their full payment by the plan member.

Self Pay

No Insurance? No Worries!Our goal at Vcare Physio & Rehab is to allow everyone to experience the benefits of our treatment. For patients who have little or no insurance coverage, we can work with you to arrange a flexible payment program that fits your budget. If you have no insurance or if your insurance does not have any benefit coverage, there are still ways for you to receive the pain relief and treatment care that you need. Many patients choose to pay directly for their visits as they discover that our payment plan is actually extremely cost-effective and affordable. For those that do not have any insurance coverage or choose to pay for services, we accept the following forms of payment.

Motor Vehicle Insurance

If you have been involved in a motor vehicle accident we can electronically bill your auto insurance directly. For your insurance claim to be approved, your Auto insurance will require an accident benefit package be filled out and sent to them for consideration (these forms are mailed out to you once the accident has been reported). It is often advisable that you seek medical help at your earliest convenience as the injuries are often treated much more quickly when they are in an acute stage (early stage). Your insurance will also require an Initial Treatment plan and assessment to be sent to them (We will assess you on your initial visit and develop and forward a treatment plan electronically to your auto insurance). Your auto insurance will usually authorize treatments and respond to us directly. Please note that for an auto insurance claim to be processed we will require your extended health insurance (if you have extended health) be billed first for services (this is the law in Ontario). Your extended health insurance may require a doctor’s referral for your extended health. As well all payments once approved will be directly paid to our facility.

Workplace Safety And Insurance Board (W.S.I.B.)

We also accept WSIB claims as long as you have a valid and approved claim number. The claim number is provided by your employer/workplace and services can be directly billed to WSIB on your behalf. We will also require a date of accident and contact name of your employer. Please note that WSIB will only cover the injury sustained at work and not any pre-existing injuries.
